1. Information We Collect

When you use Golf Caddie or Golf Caddie - Planner, we collect:

• Account Information: Email address and display name when you sign in with Google or Apple
• Golf Data: Scores, statistics, strategies, and notes you record during your rounds
• Voice Data: Voice recordings are processed locally on your device for voice commands. If you opt-in to voice training, anonymized transcripts may be used to improve recognition
• Location Data: GPS position is used during play to calculate distance to the green and provide shot suggestions. Location is only accessed when you actively request it (e.g., tapping "Shot Suggestion"). We do not track your location in the background
• Camera/Photos: Used to scan scorecards and hole diagrams via OCR. Images are processed on-device or via AI vision if enabled. Photos are stored locally on your device only
• AI Processing: When you use AI features (strategy generation, shot suggestions, training advice), your golf data (course info, club bag, score context) is sent to your configured AI provider (Google Gemini, OpenAI, or Anthropic) for processing. API keys are stored securely on your device and never shared with us
• Usage Data: App usage patterns to improve the experience

1b. Information Collected via the Golf Club Portal

When you register for the Golf Club Portal (for club owners, staff, and judges), we collect:

• Personal Information: First name, last name, email address, and phone number
• Role Information: Your role in the club (owner, staff, or judge) and the associated golf club
• Authentication Data: Securely managed via Firebase Authentication

This information is used solely for:

• Verifying your identity and club affiliation
• Processing your registration request (approval workflow)
• Providing you access to club management features
• Contacting you regarding your registration status

Data minimization: Rejected or abandoned registration requests are automatically deleted after 30 days. We do not retain personal data longer than necessary.

2. How We Use Your Information

We use your information to:

• Provide and improve the Golf Caddie app
• Sync your data across devices
• Calculate statistics and provide insights
• Send important updates about the app (you can opt out)

3. Data Storage and Security

Your data is stored securely using Firebase (Google Cloud Platform) with:

• Encryption in transit and at rest
• Secure authentication
• Regular security updates

4. Data Sharing

We do not sell your personal information. We may share data with:

• Service Providers: Firebase (hosting, database), Google Analytics (anonymized usage)
• Legal Requirements: If required by law

5. Your Rights

Under GDPR and applicable data protection laws, you have the right to:

• Access your data
• Export your data
• Delete your account and all associated data (right to erasure)
• Withdraw consent at any time
• Opt out of analytics

For mobile app users: Visit Data Deletion or use the in-app deletion option.

For Golf Club Portal users: You can request deletion of your portal account and all associated personal data by contacting deletion@golfcaddieapp.com. Your data will be permanently removed from all systems within 7 business days.

5b. Legal Basis for Processing (GDPR Art. 6)

We process your personal data based on:

• Consent (Art. 6(1)(a)): You provide explicit consent when registering for the Golf Club Portal
• Contract performance (Art. 6(1)(b)): Processing necessary to provide the services you requested
• Legitimate interests (Art. 6(1)(f)): Improving our services and ensuring security

6. Children's Privacy

Golf Caddie is not intended for children under 13. We do not knowingly collect data from children.

7. Changes to This Policy

We may update this policy. Significant changes will be notified through the app.
